Dear Agent
The following information is to assist you in preparing for Study Tours to Australia. Arrangements can be made in Melbourne, Sydney and Brisbane.
Arrival Time – Location - Homestay Pickup
The Host must pick up their students from the institution or the meeting point on the day of their arrival. After lengthy flights, students would prefer to be taken to their homestay after a short orientation at the Institution they are attending. Usually the students are collected from the airport by bus, transported to their institution where they are met by their host and then taken to their homestay.
However, this is not possible if the arrival time is during normal business hours, Monday to Friday.
Many hosts are employed and are not able to collect their students. We suggest that the best time of arrival in Australia is during a weekend period.
If this is not possible we suggest that the students are taken to their institution, given Orientation, Lunch and then by 5.00pm, collected by their host.
Many schools are located in busy parts of their respective cities and parking for hosts is difficult, even at weekends. Introductions between Hosts and their students can take up to 10 minutes and need to be done one at a time. This is why we stagger the pickup times (e.g.: b/w 3pm and 5pm etc) so as Hosts are not all required to be at the institution or the meeting point at the same time and are able to find car parking nearby.
Hosts must take their students to the institution on the day of departure.
Australian Hosts
Australia has a diversity of cultures. Many people who reside in Australia were not born here but have Australian nationality. When booking a study tour, please be specific about the nationality of homestays you wish to have. We will ensure that in all bookings, at least one member of the household is born in Australia.
Although most Homestays are employed, they are expected to spend evenings with their students during the week and at weekends unless an excursion has been arranged for the tour.
Pre-Arrival Information
We send profiles of homestay family’s at a minimum of four weeks prior to their arrival. However, if they are required earlier, this can be done.
Sometimes, although rare, the circumstances of a homestay changes after being booked for a Study Tour and they are unable to accept the students. We will immediately notify you of a change and the reason why as soon as we are aware.
If it is possible, we would like you to send us information about each student.

Transfer between Homestays
Sometimes, students on Tour wish to change their homestay and stay with a different friend in another homestay. This is acceptable to us. We usually arrange for the students who wish to change their homestay to bring their luggage to their Institution, then go to their new homestay at the end of the day with their friend. If a complete change of homestay is required, we advise the Institution of the new Host and arrange the transfer ourselves. There is no additional fee for this service.
Telephone Calls
We suggest that as a part of the Tour each student has a telephone card. This means that upon their arrival in Australia, they can call their parents to inform them of their safe arrival.
Conditions of a Homestay
Homestays vary by location and what facilities they offer. Living with a Host Family is a rewarding experience for a student. Homestays are chosen because they have an understanding of different cultures. For both students and host, the experience should be a rewarding one.
We ask the Host to speak in English as much as possible to the student; we also ask for students to speak to their Host as often as they can and to ask their Host questions. This helps them to better understand their Host and Western culture, and helps their Host better understand their (the student’s) culture.
The Host is to provide a student with a caring, comfortable and healthy environment that supports their studies and their stay in Australia.
Travel Directions
Each Host must personally show their students the route to/from their institution by public transportation. The Host must ensure that their students understand which is the best way to school. (Unless the tour has arranged pickup and drop off by bus each day to and from school)
Each student must have some form of identification that will state who he or she is, where he or she is staying and the Host's telephone number. Therefore in case they are lost they can show a passer-by the information and their Host can be contacted..
Meals
Unless requested otherwise, two meals per day are provided.
Breakfast, a choice of cereal, toast or noodles, Tea, Coffee provided by the Host. All breakfast foods placed on the kitchen bench for students to prepare for themselves.
Dinner - A cooked meal. The homestay can provide different styles of food .e, Western and Asian. This is to be for seven days per week.
In some instances, a Host may have no idea of what food students like to eat. Different students prefer different types of food; therefore they need to tell their Host what kinds of foods they like. If they are still hungry after an evening meal they need to inform their Host. The Host is responsible in providing quality meals.
If a student is going to be late or not be home for dinner (with the permission of the Tour leader) they need to tell their Host as soon as they can. Their Host will prepare their meal and leave it for them to be reheated.
Safety
Hosts must report to Homestay Australia Pty. Ltd. if any student is not home by 10:00pm.
Laundry
The Host will do the student's washing for them.
Toiletries
The Host Family will supply all items.
Cleaning
Students are expected to clean their own room and to keep it tidy. When they use such areas as the kitchen and bathroom, they need to leave them as they find them.
Smoking
Unless students are given permission they cannot smoke in the house. They must ask their Host where they can smoke.
Telephone
The Host allows access to their telephone by students to make local calls at the rate of $0.30c per call.
Location
Unless the Institution is located away from the CBD, the homestay must be in the zone 1 area.
Arranged Tours
Hosts are required to pick up the students from the institution, when they come back from any tour after normal working hours and at weekends.

Hosts must have the following information :
Name list of every student in the Tour Group and their homestay contact details
